Information and Guidelines For Exhibitors


The purpose of the Midwest Ability Summit is to learn about services, resources, products and information for persons of all ages with various disabilities through education, entertainment and activities.  The event will promote appreciation and respect, serving to remind all of us the value and strength of a diverse community.

Selection Criteria:

The Summit Committee prior to the event will designate Booth assignments.  Sponsors will be given priority location. There will be no choices of table assignments.  Your company/organization name will be at your booth.  You will be provided a floor map when you check in on the day of the expo.

Participant Guidelines:

  • A booth may cover one or more of the following areas a non-profit organization, artist with a disability, or a business that supports persons with disabilities.
  • A standard booth is 10’x10’ with a 6′ table and 2 chairs. Additional booth space can be purchased or is included as a sponsor.
  • Organizations are encouraged to include information in their display that educates in the broadest sense about disabilities.
  • Interactive activities that engage Summit attendees as they visit will make the booth inviting and enjoyable.
  • Leaflets, posters, and/or literature that reflect the organization may be distributed at your booth only.
  • Selling items at your booth:
    • A booth may sell items that are representative of the organizations.
    • You may not sell food or beverages at the booth.
    • If you do hand out candy, it must be prepared and wrapped by the original manufacturer.
    • Applicant is solely responsible for all its sales transactions, tendering and payment of all appropriate Federal, State, and County taxes.
  • If an organization offers raffle tickets, paid memberships, or other items, the sale of these items must take place exclusively at the booth, and not on the general grounds of the Summit
  • Booths must be staffed for the duration of the Summit.
  • Set Up and Take Down:
    • Your booth will be ready by 8:00 am for set up.
    • You can arrive any time 8:00 or after to start setting up your booth.
    • You must be ready for visitors by 10:00 am.
    • We ask that all exhibitors stay until the close of the summit at 4:00. This was feedback from last year’s event from participants.
    • The Summit will end at 4:00 pm, after which time you can start tearing down your booth. You will need to be done by 5:00 pm.
    • Anything that is left behind will be thrown away.
  • If you are using electricity you must provide your own extension cord and pay the additional fee to Overland Park Convention Center.
  • You will need to bring your own surge protector if you will be using a computer.
  • All cancellations must be submitted on our website in the contact area. Booth fees are non-refundable.
  • You will receive a reply upon your registration and that will be your confirmation.
